By using the Site or interacting with our photo booth services, you consent to the data practices described in this policy.

1. INFORMATION WE COLLECT

We collect information that identifies, relates to, or could reasonably be linked with you ("Personal Information").

  • Inquiry & Booking Data: When you fill out our contact form, we collect your name, email address, phone number, physical mailing address, event dates, and venue location details.

  • On-Site Guest Information: When event guests utilize our digital sharing features at an event, we collect temporary phone numbers or email addresses provided on the screen solely to transmit the requested photo or video.

  • Payment Information: Financial transactions are processed securely through our authorized secure payment gateway. In accordance with our Terms and Conditions, we process credit card, debit card, and cash transactions. Luxe Photo Lounge does not directly store, log, or maintain your credit card numbers on our servers.

  • Device & Analytics Data: We automatically log your IP address, browser type, operating system, and clicking behavior using standard web cookies to monitor Site traffic patterns and optimize user performance.

2. IMAGE CAPTURE, DIGITAL FILTERS, AND INTELLECTUAL PROPERTY

Operating premium photo lounges involves capturing digital media. We treat this data with strict professional integrity:

  • Thematic Filters: Our "Glam Filter Upgrade" software analyzes facial structures in real time to apply automated skin-smoothing, blemish reduction, and lighting adjustments. This data is processed instantly on local hardware, is entirely automated, and is never compiled, stored, or sold as permanent biometric identification profiles.

  • Image Ownership & Archiving: All digital media captured at events remains the property of Luxe Photo Lounge. Photos, videos, and loops are uploaded to a secure, password-protected online event gallery hosted by our platform vendors. These files are kept for the contractual period (ranging from 60 days to permanent storage, based on the package selected) before deletion.

3. HOW WE USE YOUR INFORMATION

We use the data we collect strictly to execute our business operations:

  • Booking & Administration: To schedule, finalize, and process payments for your event booking, including managing the 50% non-refundable retainer and the final 30-day balance.

  • Media Delivery: To deliver captured media directly to your phone, email, or online event gallery.

  • Contract Enforcement: To enforce our website Terms and Conditions, verify territory limits, process the non-refundable 3% credit card processing fee, apply custom-quoted excess mileage fees, and handle venue parking or valet billing.

  • Venue Coordination: To manage insurance verifications and process Certificate of Insurance (COI) submissions with your venue.

  • Marketing & Portfolios: To feature beautifully curated event portraits, imagery, sample photo overlays, and custom animated start screens on our marketing portfolio, website, or social media channels (subject to our contractual Model Release).

4. DISCLOSURE & SHARING OF DATA

Luxe Photo Lounge never sells, rents, or trades your personal information or captured images to third-party data brokers or marketing lists. We disclose data only under the following limited conditions:

  • Service Vendors: To technical infrastructure partners who provide our photo booth operating software, SMS/email text delivery systems, and online gallery hosting.

  • Venue Requirements: To transfer necessary Certificate of Insurance (COI) paperwork containing matching event specifics to your venue coordinators at least seven (7) business days prior to the event date.

  • Legal Compliance: If required by law, subpoena, or to protect the safety, physical property, and rights of Luxe Photo Lounge, our attendants, or our guests.

5. DATA SECURITY & RETENTION

  • Safeguards: We employ robust commercial administrative and technical safeguards to shield your contact data and digital images from unauthorized access or alteration. However, no digital transmission over a cellular network or the internet can be guaranteed 100% secure.

  • Digital Sharing Loops: On-site text queues that fail due to weak local venue reception are stored securely on encrypted hardware until the unit reconnects to high-speed internet.

  • Host Portals: Clients are responsible for maintaining the privacy of their specific high-resolution gallery links.

6. STATE JURISDICTION & YOUR RIGHTS

  • Governing Law: This policy is governed under the laws of the State of Washington.

  • Client Rights: Depending on your residency, you may have specific rights regarding your data, including the right to request access to your personal records, demand corrections to contact profiles, or request the early permanent deletion of your images from our online servers.

  • Confidentiality & NDA Options: If your event requires strict privacy or corporate confidentiality, a non-disclosure amendment must be requested via email prior to booking to override standard marketing and portfolio sharing. To exercise any of these privacy rights, please submit a formal request via email.

7. CHANGES TO THIS PRIVACY POLICY

Luxe Photo Lounge reserves the right to modify this Privacy Policy at any time to reflect changing software integrations or local privacy statutes. Any revisions will be signaled by updating the "Last Updated" date at the top of this document.
